How it all works — from buying it to using it on site

No jargon, nothing assumed. This walks you the whole way: buying, downloading, making the documents yours, what the QR codes actually do, how to run the paperwork on a real site, and how to use the free tools. If you can use a phone camera, you can do all of this.

Buying

About two minutes

Pick what you need

Three sensible ways to start, depending on where you're at:

  • Just need one document? Buy a single SWMS — $19.90.
  • Running a trade properly? Buy that trade's Complete Pack — $149 for 9 documents that cover the whole job.
  • Running a business? The Complete National 300-SWMS Library — 300 Australia-wide SWMS — is licensed access, included with the Company plan ($299/month) while you are subscribed; Builder Pro ($129/month) carries up to 100 controlled SWMS of your choice. Prefer a one-time purchase? A trade pack is $149, or an individual SWMS is $19.90.

Not sure? Use the "Find my pack in 10 seconds" bar on the home page — three taps and it takes you to the right product.

Latest controlled SWMS version — Master Rev 22 · completed and verified 4 October 2026.

💡 Want to see the goods first? Download a free sample pack or grab the free Obras SWMS sample — your name and email, one document, no card and no account.

Click through and pay

  1. Click Add to cart on the product, then Checkout.
  2. You'll land on our checkout page (Payhip). Enter your email address.
  3. Pay by card — or PayPal if you'd rather.

Every price on our site is in Australian dollars and includes GST. You'll get a tax invoice automatically, so it goes straight to your accountant.

✓ Buying for a company? Put the company email in at checkout — that way the download link and the receipt land somewhere your bookkeeper can find them later.
2

Getting your documents

Instant — no waiting

Download straight away

The second the payment goes through you get two things: a download page on screen, and an email with the same download link. Use either.

What downloads is a zip file — that's just a box with all your documents inside it.

💡 Download it on a computer, not your phone. Phones can be awkward with zip files, and you'll want Word to edit the documents anyway.

Open the zip file

On Windows: find the downloaded file (usually in your Downloads folder), right-click it, choose "Extract All", then Extract. A normal folder opens with your documents in it.

On Mac: just double-click it. A folder appears next to it.

⚠ Don't work on documents from inside the zip without extracting first — changes you make there can vanish. Extract, then work in the normal folder.

What you'll find inside

Every document comes twice:

  • Word version (.docx) — this is the one you edit. Put your logo and your site details in.
  • PDF version (.pdf) — the print-ready one. Use it once you've got the Word version how you want it.

Every Obras SWMS is one Australia-wide document: the jurisdiction you select is resolved on the cover (Act, Regulation, regulator and code in section 5B), so there is no state folder to choose.

✓ Back it up now. Copy the extracted folder somewhere safe — a company drive, Dropbox, OneDrive. You can always re-download from your emailed link, but a backup takes 10 seconds.

Making them yours

Ten minutes, once

Put your company on it

These documents are white-label — that means they're designed to become your company's documents, not ours.

  1. Open the Word version.
  2. Find the placeholder that says something like [CLIENT COMPANY NAME] at the top and replace it with your company name.
  3. Double-click the header area to drop your logo in (Insert → Pictures).
  4. Fill in your ABN and contact details where they're marked.
  5. Save it as your master copy — do this once and you never do it again.
💡 Do this once, properly. Set up one branded master per document, save it in a "MASTERS" folder, and from then on you copy the master for each new job instead of rebranding every time.

Then make it about the actual job

This is the bit that matters. A template protects nobody — a document about YOUR site does.

  • Site name and address
  • The real hazards on this job (adjacent school, live traffic, overhead powerlines, a neighbour's window three metres away)
  • Your people's names against the controls — who does it, who checks it
  • Anything the principal contractor has told you they require
⚠ If a regulator ever reads your SWMS, the first thing they look for is whether it's about your actual site or just a generic form someone downloaded. Ten minutes of site-specific detail is the difference.

Get it signed before work starts

Print it (or use the PDF on a tablet) and have every worker doing that task sign it before they start — not at smoko, not on Friday. Re-sign it whenever it changes.

✓ That's it — you now have a compliant, branded, site-specific document. Everything from here is about making it easy to run day to day.

The QR codes — what they actually do

This is what makes Obras different

The problem they solve

Every site has the same quiet problem: nobody knows if the document in the shed is the current one. The folder says one thing, the supervisor's ute has another version, and the crew signed something from six months ago. When an inspector turns up — or worse, when someone gets hurt — that gap is the whole problem.

How it works

Every Obras Onsite document has a QR code printed on it. Anyone can scan it — worker, supervisor, inspector, client:

📱
Open the cameraJust the normal camera app
🎯
Point at the QRA link pops up — tap it
✅
See the statusCurrent? Superseded? Who owns it?

The page that opens shows the document's live control record: whether it's the current approved revision, the revision number, who owns it, and a Green / Amber / Red status for the system it belongs to.

No app. No login. No account. It works on any phone, for anyone, straight out of the camera.

💡 Try it right now: open a real control record — that's exactly what someone sees when they scan.

Using our scanner instead

If a phone's camera doesn't pick up QR codes automatically (some older Androids), we've got a scanner built into the website: obrasonsite.com.au/scan — tap Start the scanner, allow the camera when it asks, point at the code.

⚠ The first time you use it, your phone will ask "Allow camera?" — you must tap Allow, or the scanner can't see anything. If you tapped Block by accident, go to your browser settings for this site and switch camera back on.

Why it's worth something

  • To your crew: they can check in five seconds that they're working off the current document.
  • To an inspector or client: you look like a company with document control, not a folder full of hope.
  • To you: when someone asks "was that the current version at the time?", you have an answer.

Running the paperwork on site

The daily routine

Set the site up once

  1. Print your branded SWMS for each trade working on site and put them in the site folder.
  2. Print the gate QR signs (see the free tools below) — pre-start, incident reporting, induction, emergency info.
  3. Stick them where people actually walk past: the gate, the shed, the smoko room.

The daily rhythm

  • Before work starts: crew scans the pre-start QR, ticks the declarations, signs on. Two minutes.
  • New face on site? They scan the induction QR before they go past the gate.
  • Something happens? Anyone scans the incident QR — 30 seconds, name optional.
  • Trade finishing a zone? Run the handover gate before the next trade goes in.
  • End of day: two minutes on the site diary — weather, crew, what got done, any delays with times.
✓ Every one of those lands in your email as a time-stamped record. That's your evidence trail building itself while you run the job.

Keep the documents alive

A SWMS isn't a "set and forget". Review it when:

  • the work changes
  • an incident or near miss happens
  • a control isn't working in practice
  • at least once a year regardless

Use the free SWMS Review Reminders tool to put every review date in your calendar so it never sneaks up on you.

The free tools

Yours whether you buy anything or not

What they are

Around 75 tools that run in your phone's browser. No app to install, no account, no cost, ever. They save on your own device.

  • Zone Stacking Board — flags two trades booked into the same zone before it costs you a day
  • Pre-Start / Induction / Incident QR — print the signs, crew scans, records land in your inbox
  • Live Permit Board — permits go red the minute they lapse
  • Site Diary — weather filled in automatically, prints a signed page for the file
  • Plant QR tags — scan the machine, do the pre-use check
  • Calculators — concrete, reo, bricks, excavation, sling angles, fall clearance, progress claims and more

All here: obrasonsite.com.au/site-tools

How to print a QR sign

  1. Open the tool (say Pre-Start QR) on a computer.
  2. Scroll to the "print your site QR sign" box, type your site name.
  3. Click the print button — your normal print window opens.
  4. Print on A4. Laminate it if it's going outside.
💡 Get them all at once: the Supervisor Site Kit ($29) has all four gate signs plus the daily routine one-pager, print-ready, no setup.

One honest limit

The free tools save on the device you use them on. So the stacking board you build on the site office tablet lives on that tablet — it doesn't sync to everyone's phone. That's deliberate: no accounts means no data of yours sitting on our servers.

Live syncing across a whole site's phones is coming in Obras Pro. The free tools stay free regardless.

Your first week

If you do nothing else, do this
  1. Day 1: Buy the pack for your main trade. Download, extract, back it up.
  2. Day 1: Brand one document with your logo and details. Save it as your master.
  3. Day 2: Make it site-specific for your current job. Print it. Get the crew to sign it.
  4. Day 2: Scan the QR on it yourself, so you know what your crew and any inspector will see.
  5. Day 3: Print the pre-start QR sign, stick it at the gate, run one pre-start through it.
  6. Day 4: Print the incident QR sign for the shed. Tell the crew at toolbox: "see it, scan it, report it".
  7. Day 5: Do the site diary for one day. Notice how long it takes (about two minutes).
✓ Do that week and the system runs itself from there. Everything else is just more of the same.

Questions people actually ask

Straight answers
Do I need an app?

No. Everything runs in the phone's normal camera and browser. There is nothing to install, ever.

Do my crew need accounts or logins?

No. They scan a QR and use it. No accounts, no passwords, no admin.

Is it a subscription?

The documents are a one-off purchase — you own them. The annual OS licences include 12 months of document updates. The free tools are free forever.

Can I put my own logo on them?

Yes — that's the point. Every document is white-label. Your clients see your company, not ours.

Are these legally compliant?

They're written to Australian WHS requirements and structured the way regulators and tier-one contractors expect. But no template is compliant on its own — it becomes compliant when you make it site-specific, consult your workers, and follow it. That part is always your responsibility.

What if I lose the files?

Re-download from the link in your original purchase email any time. Still stuck? Email us and we'll sort it.

Does the QR work without internet?

Scanning needs a data connection to load the record — same as any web link. The document itself works fine offline; it's paper.

Can I use these on multiple sites?

Yes. Your purchase covers your company's use across your projects. You can't resell them or pass them to another company.

The camera won't start on my phone.

Tap Allow when it asks for camera permission. If you accidentally blocked it, open your browser settings for this site and turn the camera back on, then reload the page. Also make sure you're on the https:// address — phones block cameras on insecure pages.

Who do I talk to if I'm stuck?

Reply to your purchase email, or use the contact form on the site. A real person on the Gold Coast reads it.

How you get the complete SWMS library

One document or one trade is a one-time purchase, and always will be. The complete 300+ SWMS library is licensed access — it stays current while you are subscribed, which is the point of it. The complete library is on the Company plan; Builder Pro carries up to 100 controlled SWMS of your choice.

Coming soon — controlled release in progress. These plans are not yet available to buy. Individual SWMS ($19.90) and Trade Packs ($149) are unaffected and remain one-time purchases.

Licensed access means the documents stay current while the subscription is active, and that redistribution or resale is not permitted under the licence. The complete source and master estate is not supplied. Prices are in Australian dollars and include GST.

Want a person to look at it?

The tools above are free and yours to use. When you need the paperwork behind them reviewed by someone who has run sites, Obras HSE Services is a live consulting business in south-east Queensland.
